OWee 2026 Privacy Policy  

Introduction 

OWee, TU Delft’s orientation week,handles personal data with care and operates within the bounds of the law, including the General Data Protection Regulation (GDPR). In this privacy statement, we inform you about the purposes for which TU Delft’s OWee processes your personal data, to whom your data is disclosed, and how you can exercise your privacy rights.  

This privacy statement supplements the TU Delft privacy statement . If you still have questions after reading that statement, you can always contact the organizer of the orientation week. The contact information can be found at the bottom of this privacy statement. 

Definitions 

The following definitions apply in this privacy statement: 

OWee: the orientation week organized by TU Delft every other year. For the 2026 edition of OWee, this includes both the digital and in-person days, as well as the ladies’ orientation. 

Event: the orientation week organized by TU Delft every other year: the OWee. 

Participant: the individual who has registered to participate in the Event in a manner approved by the organizer. 

Agreement:the agreement governing the participant’s participation in the Event. 

Organizer:the OWee Board, a division of the legal entity (TU Delft) with which the participant has entered into an agreement. 

Mentor: theindividual who guides the participants in the Event.  

OWee Board: thegroup of people organizing OWee for the year in question. 

OWee Group: Allparticipants are part of an OWee group. An OWee group consists of about ten people and one or two mentors. 

What personal data do we process, and for what purpose? 

When you register for OWee, OWee uses the platform Tactile and the Tactile app, called OWee Delft. We ask that you create an account to use the app. We collect the following personal data from you: your name, address, city, gender, phone number, parent/guardian’s phone number, email address, parent/guardian’s email address, date of birth, student ID number, field of study, bank details, and allergies.  

This information is processed for the following purposes: to register you and process the registration fee, to communicate with you, to sign you up for activities, and to assign you to groups. We also use your date of birth to issue wristbands to minors in connection with the legal drinking age. When organizing meal times, the mentors will use your allergies and your name to help you make the right food choices. 

We are asking for your parent’s or guardian’s phone number and email address so that we can contact them in case of an emergency during OWee. 

We will share your name, phone number, and email address with the faculty where you are enrolled in order to pass on the groups formed during OWee to your faculty. This allows the faculty to carry over the composition of the OWee group into their own orientation period. 

The legal basis for this processing is the performance of your agreement with TU Delft to participate in the OWee and your consent to share your data with the third parties listed below. You may withdraw this consent at any time by sending an email to info@owee.nl

What information is shared with EersteJaarsWeekend? 

When you register for the First-Year Weekend (EJW), the following information about you will be provided to the EJW committee of the faculty where you will be studying so that the weekend can be organized successfully: name, gender, nationality, phone number, email address, date of birth, student ID number, degree program, and allergies. 

What information is shared with a Sleep-Inn property? 

When you sign up for a Sleep-Inn house, your name, email address, gender, and phone number will be provided to the house manager of the house selected by the organizer. There is one house manager per Sleep-Inn house. This information will be used solely for communication regarding a potential place to sleep. 

How long is personal data retained? 

Your personal data is stored on the Tactile platform and in the Tactile app. The data will not be retained for longer than is strictly necessary to achieve the purposes for which it was collected and will be deleted no later than 12 months after the end of OWee on August 21, 2027. You can also have your personal data removed from the app and platform by sending an email to info@owee.nl.

How is your personal information protected? 

The organizer has implemented appropriate technical and organizational measures to protect personal data against accidental or unlawful destruction, accidental damage, loss, alteration, or unauthorized disclosure or access, and against all other forms of unlawful processing (including, but not limited to, unnecessary data collection) or further processing.  

What are your privacy rights? 

‍ You always have the right to access, delete, correct, or restrict the processing of your personal data, as well as the right to object and the right to data portability. Furthermore, you always have the right to withdraw your consent. This consent may be withdrawn at any time by sending an email to info@owee.nl
